Who we are

Atlas Surfacing Ltd is a groundworks and surfacing company registered in England and Wales (company number 13899990). Our registered office is 35 Colworth House, Colworth Park, Sharnbrook, Bedford, MK44 1LQ. We are the "data controller" for the personal information described here.

What we collect

When you ask us for a quote or contact us (by our website forms, phone, email, WhatsApp, Facebook or Instagram, including Facebook lead forms), we collect: your name, phone number, email address, the address or postcode of the property, details of the work you're interested in, and any photos or information you choose to send us.

If you become a customer, we also keep records of your quote, the work carried out, invoices and payments.

When you visit our website, and only if you click "Accept" on the cookie banner, Google Analytics and Google Ads cookies record how you found and used the site (for example, which pages you viewed and whether you made an enquiry). If you click "Reject", these cookies are not used.

How we use it

To reply to your enquiry, arrange a site visit and give you a quote.
To carry out the work you've booked, keep you updated and invoice you.
To follow up on a quote we've sent you.
To keep proper business and accounting records.
To understand which of our adverts and web pages bring in enquiries, so we can improve them.

We do not sell your information, and we do not send marketing emails unless you've asked us to.

Our legal reasons for using it

Taking steps at your request before a contract, and carrying out the contract (quotes and work).
Legal obligations (for example, keeping tax and accounting records).
Our legitimate interests in running and improving our business, such as following up quotes and measuring our advertising.
Your consent, for optional website cookies. You can change your choice at any time using "Cookie settings" at the bottom of every page.

Who we share it with

We only share your information with trusted services that help us run the business, and only what they need:

Formspree (delivers website enquiry forms to us)
HubSpot (our customer records and email)
Xero (invoicing and accounts)
Google (website analytics and advertising measurement, only with your consent)
Meta (Facebook, Instagram and WhatsApp, if you contact us there or use a Facebook lead form)
Our accountant, and suppliers or subcontractors where needed to carry out your job

Some of these providers may store data outside the UK. Where they do, they use legal safeguards approved under UK data protection law.

We may also share information if required by law, or with the council where it's needed for a dropped kerb or highways application.

How long we keep it

Enquiries and quotes that don't go ahead: up to 2 years, then deleted.
Customer and job records, invoices and payments: 6 years after the work is finished, to meet tax and legal requirements.

Your rights

You can ask us to: see the information we hold about you; correct it; delete it; restrict or object to how we use it; or move it to another provider. You can also withdraw your cookie consent at any time. To do any of these, contact info@atlassurfacing.co.uk. We'll reply within one month.

If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk or 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
